What a Bangladeshi freight forwarder needs from management software
The job file, the port, the paperwork and the cost that arrives after the invoice: what to ask for before you buy or build.
By BetterSoftZ Engineering, Dhaka
Freight forwarding management software for a Bangladeshi forwarder is built around the job file: the booking, carrier and consignee, the bill of lading or airway bill, LC and customs documents, and every charge billed to the customer or paid to a carrier, C&F agent or transporter. Its test is whether profit per job is visible while costs are still arriving, not after the month closes.
What is a freight forwarding job file?
The job file is the unit of work in a forwarding business, and it is the right place to start when you judge any software. One shipment, one file. It holds the booking, the shipper, the carrier and the consignee, the bill of lading (B/L) for sea freight or the airway bill (AWB) for air, and the documents the shipment needs to clear: the LC, the commercial invoice, the packing list and the C&F agent’s bill. It also holds the money: every charge you bill to the customer and every cost you pay out.
Most Bangladeshi forwarders still keep this in spreadsheets, email threads and paper folders. That works until the same job is touched by operations, accounts and a manager, each holding a different version.
What should the job file record?
| Part of the file | What it should hold |
|---|---|
| Booking | Shipper, consignee, carrier, mode (sea or air), origin, destination, cargo description |
| Transport document | B/L number or AWB number, with the scanned copy attached |
| Trade documents | LC, commercial invoice, packing list, customs and bond documents |
| Charges billed | Each line billed to the customer, with the invoice it appeared on |
| Costs paid | Each line paid to the carrier, C&F agent, transporter or others, with the bill it came from |
| Milestones | Dated and attributed: cargo received, documents filed, customs released, delivered |
If a package cannot attach a cost line to a job and say who entered it, it is a document store with an accounts module, not a forwarding system.
How are shipments tracked through Chattogram port and Dhaka airport?
As milestones on the job. Sea freight is followed against Chattogram port and air freight against Dhaka airport, and each stage is a dated entry rather than a note in an email. The value is not a pretty status screen. It is that a customer asking where their cargo is gets an answer from the file in seconds, and that delay at one stage is visible to the person who can act on it.
How do you see profit on a job while it is still open?
This is the question that separates a forwarding system from a general accounts package. Costs in this trade arrive late and out of order: the carrier’s charges, the C&F agent’s bill, a trucking cost, a port charge. If they are posted to a ledger by date, the profit on one shipment can only be worked out by hand after the month closes.
A good job file keeps a running statement: revenue billed, cost posted, cost expected but not yet received, and the margin that results. Two checks are worth asking any vendor to demonstrate:
- Add a cost to a closed job and show the margin change.
- List every job where billed revenue is below posted cost.
Where does transport management fit?
Beside the job file, not in a separate tool. Trips, vehicles, fuel and driver records belong to the same operation, and the trucking cost should land on the shipment it served. When transport lives in its own spreadsheet, that cost is re-keyed into the job later or, more often, not at all. If you subcontract deliveries, the courier handoff should sit in the same chain, with the courier’s status and settlement matched against the job.
How do you evaluate a vendor?
There are three real options, and each has a fair use.
| Option | Fits when | Watch for |
|---|---|---|
| Spreadsheet | A few jobs a month, one or two people | Version drift, costs that never get posted |
| Ready-made package | Your process matches the vendor’s | Charge types, document sets or approvals you have to bend |
| Custom software | Your job file, approvals or document flow differ from the standard | Needs a scoped discovery phase and a clear owner on your side |
Whatever the option, put the same test in front of each: three of your own recent jobs, including one with a late cost and one with a document problem. Then ask the questions that decide the outcome:
- Can a cost be attached to a job after the invoice has been sent?
- Which documents can be attached, and who can see them?
- Who owns the data, and can you export every job file?
- What happens when two people edit the same job?
- What is excluded from the scope?
When does custom make sense?
When the way you work is the competitive advantage, or when the packages you tried needed more workarounds than they removed. Our logistics and supply chain work covers freight forwarding job files, transport management and courier reconciliation, and a forwarding system is normally delivered as custom software after a discovery phase that maps your actual job file first. We do not quote a price from a one-line brief.
Frequently asked questions
Is a spreadsheet enough for a small freight forwarder?
For a handful of jobs a month, often yes. It starts to fail when several people edit the same file, when costs arrive from carriers, C&F agents and transporters after the invoice has gone out, and when someone asks for the profit on one job and the answer takes an hour to assemble. Those are the signs that the job file needs a system.
Should we buy a ready-made package or have one built?
A package suits a forwarder whose process matches the vendor's. Custom software suits one whose job file, charge types, approvals or document sets are different enough that the package would be bent around them. Test a package on three of your real, messy jobs before deciding, and decide on what it could not handle.
Can the system track shipments through Chattogram port and Dhaka airport?
Yes, as milestones on the job file: for example booked, cargo received, documents filed, customs assessed, released and delivered. Sea freight is tracked against Chattogram and air freight against Dhaka airport. Each milestone is dated and recorded by a named person, so the status of a job does not depend on who last answered the phone.
Can it manage our trucks and our subcontracted couriers too?
Yes. Transport management covers trips, vehicles, fuel and driver records, and the trucking cost is charged to the job it belongs to. Courier handoffs are tracked in the same chain, with status pulled in where the courier has an API and settlement statements reconciled against what you expected to pay.
